Chatbots for small business: capture leads 24/7

Customers message when it suits them. Late at night, on a Sunday, right when you are busy with someone else. If that message sits unanswered for half a day, there is a good chance they have already bought from whoever replied first.

A bot fixes the waiting part. It answers straight away, asks what you need to know, and passes a warm lead to a real person. Here is what that looks like for a small business, and how to do it without irritating anyone.

What a bot can realistically handle

With current AI models, a bot can also understand questions typed in plain words and answer from your own price list and FAQ, so people are not stuck clicking through rigid menus.

Which messenger?

Go where your customers already are.

You don't need all four. Start with wherever most of your messages come from today.

A qualification flow people actually finish

  1. Say hello and say what the bot can do, e.g. "I can give you a price in about a minute."
  2. Ask one thing at a time, with buttons where you can.
  3. Only ask for a phone or email after you have given them something useful, like a price range or free dates.
  4. Send the summary to yourself instantly, in a messenger, by email or into your CRM.
  5. Tell the customer what happens next and roughly when a person will get back to them.

Keep it to five questions or fewer. Every extra one loses people.

What it costs

A simple FAQ-plus-leads bot is a small project, often in the same range as a month of social media management. Running costs are usually low: hosting, plus WhatsApp's per-conversation fees if you use WhatsApp. AI answers add a small usage cost that grows with the number of chats.

Put that next to the cost of losing one customer a week to slow replies, and most bots pay for themselves quickly.

Mistakes we see a lot

Where it gets really useful

Bots work best when they are wired into your content. A Reel brings someone to your profile. The caption says "write PRICE in DMs". The bot picks it up, asks its questions and sends you the lead. You only talk to people who are already close to buying.

We build these funnels end to end at Apolline, from the video to the bot to the ping on your phone. Our own request bot is a working example you can try: @ApollineAGbot. Want one for your business? Write to us.
